Message From Annabel: Important Information for NGSG Election Night Monday October 19th

Dear Members of Nassau General Service,

As I thank you wholeheartedly for the opportunity to serve as your DCMC since January 1, 2019, I warmly invite each of you to stand for a position to continue serving our NGSG community.  With the help of each other, we can go far beyond mere sobriety!  When you stand for a position on Monday (election night), you will be given 3 minutes to share a “service resume” which is simply a description of your suitability for the open position.  Review the following information, and-please-do not be intimidated.  These guidelines are suggestions not barriers.  WE WANT YOU!!!

Also, bear in mind that our by-laws are currently under review and revision.  Accordingly, some of the language below will soon be updated to reflect current practice.

  1. Who may vote or stand for office?

DCMC  (District Committee Member Chair)

General Responsibilities Leads planning, proposing, and executing activities on behalf of members. Right of Decision between meetings.
Provides leadership and support to other officers.  Assigns additional responsibilities as necessary. Appoints NCGSC chairs. Prepares meeting agendas.  Chairs County meetings. Votes only in case of a tie.  Instructs members in procedure & Concepts.  Encourages participation.  Prepares meeting agenda.  Reports at meetings & in writing.           Reports on important A.A. matters, seeks guidance from members, reports on county issues.  Bank Accounts & legal documents (2 signatures required on all documents, checks).    Signing authority; must sign legal documents.

General Responsibilities Provides leadership to county service committees.  Takes on DCMC responsibilities if DCMC unable to serve.  Chairs County Meetings in absence of DCMC. Reports on assigned committees & responsibilities.
Contributes to Agenda. Informs the DCMC of agenda items required.  Reports at meetings & in writing.  Collects reports from service committees & sends to members one week before meeting.  Bank Accounts & legal documents (2 signatures required on all documents, checks).        Signing authority; may co-sign legal documents.  New Members & Membership Database.  Welcomes, orients, & provides training & support for new DCMs. Encourages DCMs to educate their districts.

Encourages GSRs to educate their groups.

Treasurer

Thorough understanding of 7th Tradition.
Ability to use Excel or Numbers to manage, report on, & print reports.
General Responsibilities Writes checks as authorized & obtains two signatures. Maintains checkbook. Reconciles bank statements. Makes timely deposits.  Picks up mail. Sends thank- you letters for contributions. Prepares Treasurer’s & Contributions Reports.  Prepares the year-end report & budget for the following year.
At NCGSC  Meetings Collects 7th Tradition contributions & reports on total.  Contributes to Agenda. Informs the DCMC of agenda items required.
Reports at meetings & in writing.  Prepares Financial Report & Contributions Report, & sends to members
Bank Accounts & legal documents (2 signatures required on all documents, checks).            Signing authority; may co-sign legal documents.  Ensures Reimbursement Forms are completed for reimbursements
New Members & Membership Database .  Educates new members on NCGSC financial matters, group contributions, and 7th Tradition. Also Encourages GSRs to educate their groups on same.
SENY Committees – member

Secretary

New Members & Membership Database .  Sends information about important matters to NCGSC members using the member database.

Technology and Communications Officer (formerly “Registrar”)

General Responsibilities Enrolls news DCMs, GSRs, Alternates , & Committee Chairs in NCGSC , SENY, & GSO databases.
Provides NCGSC officers with updates to membership lists.  Leads the annual GSO group records update project.
At NCGSC  Meetings          Enrolls & introduces new members. Requests & assists members to update the database.
Contributes to Agenda. Informs the DCMC of agenda items required.
Reports at meetings & in writing.  Introduces new members, reports on membership.  Bank Accounts & legal documents (2 signatures required on all documents, checks)
New Members & Membership Database .  Registers new members with Area & GSO. Updates NCGSC member database & emails to officers within 1 month after NCGSC meetings.
SENY Committees – member     • Registration Committee
Attendance is supported by NCGSC at:           Officer Meetings, NYSIW, NERF, NERAASA (once)

  1.  The Third Legacy Procedure*-

i.          A candidate must receive 2/3 of the total vote to be elected.  The results of each ballot will be posted.
ii.        After the second ballot, any candidate who received less than 1/5 of the total vote will be withdrawn, except the top two candidates must remain; in the event of a tie, all candidates tied for second place remain .
iii.       After the third ballot , any candidate who received less than 1/3 of the total vote will be withdrawn, except the top two candidates must remain ; in the event of a tie, all candidates tied for second place remain.
iv.       After the fourth ballot:
(1) The candidate with the smallest number of votes will be withdrawn, except the top two candidates must remain; in the event of a tie, all candidates tied for second place remain .
(2) The chair will ask if there is a motion to go to a fifth ballot.
a)        If such a motion is made and seconded , a simple majority will be needed to take the election to the fifth ballot.
b)        In the absence of such a motion passing , the election will be decided by lot, that is, it “goes to the hat.”
v.         If no candidate receives 2/3 of the vote on the fifth ballot, the election will be decided by lot.
vi.       For example: If 100 votes are cast ,
2/3 = 67 votes ; 1/5 = 20 votes ; 1/3 = 34 votes
